Job Description

Position Overview: The Office Assistant/Office Manager will handle day-to-day administrative tasks and will assist with some accounting tasks. This role will play a crucial role in supporting our fast-paced startup by managing office logistics, general administrative support, running errands, and providing essential administrative support as we build our team and the future of the company. 

Key Responsibilities:

  1. Office Operations:
    • Oversee the daily operations of the office, including maintaining office supplies, managing equipment, and coordinating office maintenance.
    • Implement and manage office policies and procedures to ensure an efficient and organized workspace.
  2. Administrative Support:
    • Provide administrative support to executives and team members, including scheduling meetings, managing calendars, creating documents and communication outreach using Microsoft Office programs and more.
    • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  3. Communication Management:
    • Serve as the primary point of contact for internal and external communications, including handling phone calls, emails, and visitor inquiries.
    • Coordinate and facilitate communication between team and outside parties.
  4. Financial Administration:
    • Assist with some basic accounting work, tracking expenses, processing invoices, and more.
    • Coordinate with the finance team to ensure timely and accurate financial reporting.
  5. Project Support:
    • Support special projects and initiatives as needed, including research, data entry, and report generation.
    • Help manage and track project deadlines, deliverables, and milestones.

Qualifications:

  • Proven experience as an Office Manager, Administrative Assistant, or similar role, preferably in a startup or fast-paced environment.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and office equipment.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Strong problem-solving abilities and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive, can-do attitude with a passion for supporting a dynamic and growing team.
  • Bachelor’s degree in Business Administration, Office Management, or a related field is preferred but not required.

 Compensation Structure:

1099 Status

$20.00-25.00/hr DOE
