Position Overview: The Office Assistant/Office Manager will handle day-to-day administrative tasks and will assist with some accounting tasks. This role will play a crucial role in supporting our fast-paced startup by managing office logistics, general administrative support, running errands, and providing essential administrative support as we build our team and the future of the company.
Key Responsibilities:
- Office Operations:
- Oversee the daily operations of the office, including maintaining office supplies, managing equipment, and coordinating office maintenance.
- Implement and manage office policies and procedures to ensure an efficient and organized workspace.
- Administrative Support:
- Provide administrative support to executives and team members, including scheduling meetings, managing calendars, creating documents and communication outreach using Microsoft Office programs and more.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Communication Management:
- Serve as the primary point of contact for internal and external communications, including handling phone calls, emails, and visitor inquiries.
- Coordinate and facilitate communication between team and outside parties.
- Financial Administration:
- Assist with some basic accounting work, tracking expenses, processing invoices, and more.
- Coordinate with the finance team to ensure timely and accurate financial reporting.
- Project Support:
- Support special projects and initiatives as needed, including research, data entry, and report generation.
- Help manage and track project deadlines, deliverables, and milestones.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role, preferably in a startup or fast-paced environment.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and office equipment.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Strong problem-solving abilities and attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive, can-do attitude with a passion for supporting a dynamic and growing team.
- Bachelor’s degree in Business Administration, Office Management, or a related field is preferred but not required.
Compensation Structure:
1099 Status
$20.00-25.00/hr DOE
